Assistant Controller
Girl Scouts of Northeastern New York (GSNENY) is one of 110 councils across the United States, helping build girls of courage, confidence, and character who make the world a better place. We are looking for a hands-on Assistant Controller to run our day-to-day accounting operations and keep our books accurate, timely, and audit-ready in support of our mission.
About this role
As Assistant Controller, you'll keep the Council's accounting engine running. This role reports to our VP, Finance and Operations, who leads budgeting, financial planning, and analysis for our Council.
You'll own the monthly and year-end close, oversee accounts payable and accounts receivable, keep the general ledger clean and reconciled, and ensure transactions are recorded accurately and in line with GAAP. You'll also be the day-to-day point person for the annual audit. Day-to-day, this means:
- Run the monthly and annual close calendar, making sure journal entries, accruals, prepaids, and reconciliations are completed accurately and on time.
- Prepare and review monthly, quarterly, and annual financial statements for review by the VP, Finance and Operations, before they go to leadership and the Board.
- Maintain the chart of accounts and keep the general ledger accurate and well organized. Review and approve journal entries prepared by the Finance and Accounting Specialist.
- Oversee the full AP cycle: invoice processing, coding, approvals, vendor payments, expense reimbursements, credit card reconciliation, and 1099 reporting.
- Oversee AR and revenue recording across the Council's revenue streams, including product sales (cookie and fall programs), retail shop sales, program and camp fees, and contributions.
- Monitor aging reports, follow up on outstanding receivables, and keep vendor and customer records accurate.
- Ensure all balance sheet accounts, including cash, investments, receivables, and payables, are reconciled monthly; investigate and resolve discrepancies.
- Record and track restricted grants, donations, and endowment funds in partnership with Fund Development.
- Oversee daily cash activity, deposits, and bank reconciliations and prepare cash position reports to support the VP's cash flow forecasting.
- Act as the day-to-day point of contact with our external auditors. In preparation for our annual audit, prepare schedules, pull supporting documentation, and respond to auditor requests.
- Prepare information and schedules for Form 990 and other tax and regulatory filings, working with the VP and outside preparers.
- Provide actuals, variance reports, and supporting analysis for the annual budget, which is led by the VP, Finance and Operations.
- Help build and update financial models and forecasts under the VP's direction.
- Generate reports that help department leaders track spending against budget.
